Executive Assistant

Overall Job Purpose

The Executive Assistant assists the CEO and management team as well as the AMS-IX supervisory board with all administrative, organisational and operational matters. This role requires a highly organised and flexible attitude to switch easily between different tasks and priorities.

Key Responsibilities

  • Manage Meetings: Preparing the agenda, supporting files and minutes of management team meetings, Board meetings, general meetings, etc. Example: Coordinate logistics of the meeting, compose the agenda in close cooperation with the involved stakeholders, including preparation of presentations and files, and monitor follow up on action points.
  • Assist Management Team: Managing calendars of management team, acting as a point of contact for internal and external parties and independent handling of e-mail and correspondence. Example: plan meetings and make travel arrangements for management team.
  • Assist AMS-IX Supervisory Board: Support the Board chair in planning Board meetings, produce meeting minutes and follow up action items. If needed help coordinate travel and logistics. Example: Plan meetings rooms, prepare Board materials.
  • Coordinate management team communication: Coordinating management team communication in close alignment with Corporate communication specialist. Example: Prepare documents (e.g. presentations, posters, e-mails) for internal communications.
  • Archiving and filing: Ensuring archiving and filing of relevant documents (e.g. presentations, minutes, action points etc.). Example: Publish relevant documents and filter written and oral communicationQualifications and Competencies

Qualifications and Competencies

  • Pre-university degree, secretarial degree or bachelor’s degree
  • Several years of experience in a similar position, preferable within complex organisations
  • Excellent fluency in written and spoken Dutch and English
  • Excellent knowledge of MS Office
  • Proven experience in taking minutes
  • Has a representative attitude
  • Is stress resistant and flexible

PR & Communication Specialist

Job description

We are looking for a passionate PR and Communications Specialist with exceptional writing skills and a track record in generating sustained and high-profile coverage for a B2B company. As part of the Marketing and Communications team, you will provide strategic communication counsel, develop strong relationships with journalists, partners and influencers, and manage a wide range of communication projects.

Your key responsibilities

  • Develop and implement fully integrated regional and international PR and Communications campaigns
  • Manage the local PR agency we are working with
  • Support brand awareness by developing newsworthy press releases, blogposts and pitches that can be sold to the national and international press
  • Actively identify media and editorial opportunities and respond to media inquiries from national, regional, and local press
  • Strategically prepare and coordinate media interviews and briefings that drive high impact editorial coverage
  • Develop and maintain lines of communication with media contacts and other external audience groups
  • Create and maintain editorial calendar
  • Write and edit a variety of communications for both external and internal audiences
  • Manage social media accounts: craft engaging posts, plan and monitor activities on all platforms (twitter, facebook, linkedIn, youtube)
  • Plan and coordinate the production of our annual report
  • Coordinate PR and communications activities for meetings and events and offer support in the preparation of presentations for these meetings and events
  • Create programs to consistently and effectively communicate key messages that support our business objectives, values, mission and branding initiatives internally
  • Share your expertise with other teams within AMS-IX and participate in multi-disciplinary communication initiatives

Profile

  • At least 5 years experience in a similar role
  • Bachelor/master degree in Communications
  • A strong passion for PR and communications
  • Outstanding interpersonal skills and ability to influence senior executives and others on communications issues
  • Excellent verbal and written communication skills with proven expertise in using different styles to reflect the nature of the stakeholder, audience and message
  • Ability to work well under pressure and meet tight deadlines
  • Demonstrated ability to work independently and manage multiple projects simultaneously
  • Ability to think strategically, be flexible and work with diverse groups
  • Proven track record and ability to work with highly confidential information
  • Dutch native and fluent in English (oral and written)
  • Experience in working in the ICT sector is a plus
  • Having worked at both a PR agency and client side is a plus
